When Plan A Falls Through: How We Ended Up Planning Our First Wedding in India

Some destination weddings stay with you long after the last song has played and the last guest has waved goodbye. This was one of those weddings, not just because of how beautiful it turned out, but because of everything it took to get there. This is the story of a couple who trusted us with their most important day, and the winding, heart-in-throat journey we took together to find the place where their story would finally be told.

The Original Plan: A Dream Across the Desert

Months before the wedding, our clients sat across from us and shared their dream: a grand celebration at Emirates Palace in Abu Dhabi. It was breathtaking to imagine, the scale, the opulence, the setting overlooking the water. We fell in love with the vision right alongside them, and for weeks, we poured our hearts into building their wedding around it. Contracts were signed, vendors were briefed, mood boards were pinned up on every wall of our office. It felt real. It felt close.

 

 

And then, almost overnight, the ground shifted beneath us. Geopolitical tensions began flaring up across the Middle East, and suddenly a plan we had cherished for months was no longer one we could safely stand behind. As planners, our job is never just about beautiful design, it’s about holding our clients’ hands through moments like this and protecting the people they love most. With so many guests set to travel internationally, this wasn’t a risk we were willing to take. So we sat down with our clients, had the hardest conversation of the entire planning process, and made the call together: it was time to find a new home for their wedding.

The Search: Three Countries, and a Little Bit of Hope

We won’t pretend it wasn’t scary. A wedding date was approaching, a couple’s dream had just been upended, and we had weeks, not months, to find somewhere worthy of everything they’d imagined. But we also believed, fiercely, that the right place was out there waiting for them. So we packed our bags and went looking for it, scouting properties across three very different destinations:

Each destination had its own kind of magic, and each visit brought us a little closer, but something always held us back, the guest capacity wasn’t quite enough, or the food and beverage infrastructure couldn’t support the scale of an Indian wedding, or the property simply couldn’t hold every single function we needed it to hold. We kept looking, because our clients deserved nothing less than exactly right.

Four Days That Felt Like a Lifetime

What followed was four days of pure celebration, the kind that reminds you exactly why you fell in love with this work in the first place.

Day 0 – Arrivals

It began with the families arriving, welcomed with dhol players, garlands, and open arms at the lobby entrance. There’s a particular kind of joy in watching two families meet on the eve of everything, the hugs, the happy tears, the quiet excitement in the air. A relaxed family lunch and dinner gave everyone a chance to settle in and simply be together, while behind the scenes, our production, décor, and lighting teams worked through the night to bring every corner of the property to life.

Day 1 – Guest Arrival, Welcome Lunch & Sangeet

As guests began streaming in, they were welcomed with hospitality lounges, a coffee and matcha cart, mehendi artists, and live music drifting through the lobby, the whole property humming with anticipation. By evening, that anticipation turned into pure joy: a Sangeet that opened with a flash mob entrance, swelled through family dance performances, and reached its heart in a tender, specially choreographed duet from the couple themselves. The dancing carried on well past midnight, into an afterparty glittering under a rhinestone bar.

 

 

Day 2 – Haldi, Korath, Baraat, Varmala & Pheras

If we had to choose one day that captured everything we love about this work, it would be this one. It began with a joyful, sun-soaked Haldi brunch by the pool, turmeric, laughter, and color everywhere you looked. As the afternoon faded into evening, the mood shifted into something more sacred: a traditional Korath ceremony, a Ghodi procession, and then the Baraat, alive with drumbeats and dancing feet, as the groom’s family carried him toward his bride.

 

 

Then came the moment everything had been building toward, the Varmala exchange under an open sky, two families and hundreds of guests holding their breath together. The sacred Pheras followed, quiet and profound, before the night opened back up into dinner and celebration that carried guests joyfully into the early hours.

 

Day 3 – Rituals Lunch & Reception

The final full day began gently a relaxed rituals lunch with live music and easy, lounge-style hospitality by the pool, everyone a little wistful that the celebration was nearing its end. But the evening had one more gift to give: a grand reception with a breathtaking couple entrance, live performances, a first dance that left barely a dry eye in the room, a surprise family act, cake cutting, and speeches that had everyone laughing and crying in the same breath. The dancing didn’t stop until 4 a.m. nobody wanted the night to end.

 

 

Day 4 – Departures

As the sun rose the next morning, the property that had been alive with music and laughter for four straight days grew quiet again. Over breakfast, there were long hugs, a few tears, and the kind of goodbyes that only happen after a celebration this meaningful. It was the close of a wedding that we, as planners, will carry with us for a very long time.

Some journeys don’t go the way you planned, and this was one of them. But looking back, we wouldn’t change a single turn. Every setback, every scouting trip, every late-night phone call led us to exactly where this couple was always meant to celebrate, surrounded by the people they love, on ground that felt like it had been waiting for them all along.

This wedding reminded us of something we try never to forget: a plan can change, but love doesn’t. Our job is simply to protect that love, wherever it needs us to take it, and to build it a stage worthy of everything it means.
